Terms & Conditions:

These Terms and Conditions govern the provision of visa services by Travnook Travel and Tourism LLC-FZ (hereinafter referred to as “Travnook”) to clients applying for global visas (USA, UK, Schengen, etc.) from the United Arab Emirates (UAE). By engaging with our services, clients acknowledge and agree to these terms, which are designed to ensure transparency and protect both the client and Travnook in accordance with UAE laws and regulations.

1. Service Agreement

1.1 Scope of Services
Travnook provides visa consultation, application assistance, appointment scheduling, and document preparation services (flight tickets, hotel reservations, itineraries, and travel insurance) to facilitate the visa application process.
1.2 Limitations of Service
Travnook acts solely as a service provider and does not guarantee the issuance of visas by any embassy, consulate, or visa processing entity. The final decision regarding the visa rests solely with the relevant authorities.

2. Client Responsibilities

2.1 Accurate Information
The client is responsible for providing complete and accurate documentation and information as per the requirements of the destination country. Any discrepancies or failure to provide necessary documents may result in visa rejection, delays, or additional fees, which are not the responsibility of Travnook.
2.2 Document Preparation for Visa Submission
Main documentation required for international visa applications includes flight tickets, hotel reservations, travel itineraries, and travel insurance. Travnook will prepare these documents for embassy or consulate purposes only. These documents cannot be redeemed or used for actual travel unless the visa is approved, and new paid reservations shall be made.
2.3 Submission Responsibility
Once the client is ready with the required documentation, the visa application must be submitted to the embassy for approval. Travnook will guide the client through the process, but the client is responsible for providing accurate and timely information and documents.
2.4 Visa Fees and Refunds
Once the visa application is submitted, all payments made are non-refundable, regardless of whether the visa is approved or rejected. This is due to the fees paid for preparing the visa documentation and booking the appointment. Travnook is not responsible if the visa application is rejected by the embassy or consulate.
2.5 Non-Advisable Reservations
Travnook strongly advises clients not to make any final flight or hotel bookings or incur any travel-related costs until the visa has been approved. Travnook will not be responsible for any losses incurred from bookings made before visa approval.
2.6 Appointment Cancellation
Travnook does not take responsibility if the visa appointment is cancelled due to technical issues, either by the embassy, consulate, or any other external factors beyond Travnook’s control.

3. Service Fees and Payment Terms

3.1 Non-Refundable Fees
Once a visa appointment is scheduled or any part of the services has been rendered (e.g., consultation, document review, document preparation, application submission), the service fees charged by Travnook are non-refundable.
3.2 Payment Terms
Full payment for visa services must be made at the time of booking. Travnook reserves the right to withhold services until full payment is received.

4. Refund Policy

4.1 Non-Refundable Services
Once the visa application has been submitted to the relevant authorities or an appointment has been booked, all payments made are non-refundable, regardless of the visa’s outcome or the client’s decision to cancel the process.
4.2 Client-Initiated Cancellation
Should the client choose to cancel the visa application after services have been initiated (e.g., document submission, appointment scheduling), no refunds will be issued for any payments made to Travnook.
4.3 Embassy or Consulate Changes

If any embassy or consulate alters their rules, fees, or procedures after services have been initiated, Travnook will not be responsible for these changes, and no refunds will be provided in such cases.

4.4 Processing Time for Refunds

In the rare instance that a refund is applicable, it will take 5-7 working days to process the refund. Once the refund has been initiated, the client must follow up with their bank to confirm receipt of the refund. Travnook is not responsible for any delays caused by the client’s financial institution.
4.5 Bank Charges on Refunds

For payments made via payment links, there will be a 3-4% bank charge on any refunds processed. This charge will be deducted from the total amount refunded to the client.

5. Airport Entry and Immigration Control

5.1 Visa Approval Does Not Guarantee Entry
The client acknowledges that the possession of a valid visa does not guarantee entry into the destination country. Entry to the country is at the sole discretion of immigration authorities at the port of entry.
5.2 Non-Responsibility for Denied Entry
Travnook is not responsible if the client is refused entry into the destination country by immigration authorities, even if the client holds a valid visa. The client understands that immigration authorities have the final say regarding entry, and refusal by such authorities is not a valid reason for a refund or compensation.

6. Rejection or Delay of Visa Applications

6.1 No Guarantee of Visa Approval
Travnook does not guarantee visa approval, as the decision rests solely with the relevant consulate or embassy. The client acknowledges that rejection or delay of the visa is not grounds for a refund of service fees.
6.2 Reapplication Process
If a visa application is rejected, Travnook may assist in reapplying, subject to new service fees. No previous service fees will be refunded.

7. Confidentiality and Data Protection

7.1 Confidentiality of Client Information
Travnook ensures that all personal and sensitive client information provided for visa applications will be kept confidential and only shared with relevant authorities as required for the visa process.
7.2 Data Protection Compliance
Travnook adheres to the data protection laws of the UAE, ensuring that client data is handled securely and responsibly.

8. Limitation of Liability

8.1 No Liability for Embassy or Consulate Actions
Travnook will not be held liable for any actions, delays, or decisions made by embassies, consulates, or other visa-issuing authorities, nor for any loss incurred due to visa processing delays or denials.
8.2 No Liability for Refusal of Entry
Travnook will not be held responsible for any decision made by airport immigration or customs officials regarding the refusal of entry into the destination country, even if the client holds a valid visa.
8.3 Force Majeure
Travnook is not liable for any failure to provide services due to causes beyond its reasonable control, including but not limited to acts of God, government restrictions, natural disasters, or any other unforeseeable events.

9. Governing Law and Jurisdiction

These terms and conditions are governed by and construed in accordance with the laws of the United Arab Emirates. Any disputes arising from these terms will be subject to the exclusive jurisdiction of the courts of Dubai, UAE.

10. Modifications to Terms and Conditions

Travnook reserves the right to modify these terms and conditions at any time without prior notice. Clients will be bound by the latest version of these terms available on the website or as provided at the time of engaging the service.

11. Acknowledgement and Acceptance

By proceeding with the visa application services provided by Travnook, the client confirms that they have read, understood, and agreed to these Terms and Conditions.
